Best CRM Features for Indian Small Businesses

The features that matter are the ones you will still be using in month three: a phone-number-first lead record, a short stage ladder, dated follow-up reminders, lead sources, and an export button. Most of the rest is sold to you rather than bought by you.

CRM feature lists are written to win comparisons, not to describe a working week. This is a shorter list, ordered by how much difference each one makes to a business taking enquiries by phone and WhatsApp in India.

1. The phone number as the primary identifier

Most CRM software is designed around email, because most CRM software is designed for markets where B2B email is how people talk. For a large share of Indian small-business enquiries, the phone number is the only contact detail you reliably get — and the same number is the WhatsApp identity.

Practical consequences worth checking before you buy:

2. One-tap call and WhatsApp from the record

Much of this work happens on a phone, between other jobs. If following up means copying a number, switching apps and pasting it, follow-ups get skipped. A tap-to-call and a click-to-chat link that opens WhatsApp with the number already filled in removes about four steps from the most repeated action in the day.

Be careful about what is being promised here, though. Click-to-chat and the WhatsApp Business API are completely different things. Click-to-chat opens a conversation for you to type in. The Business API sends templated or automated messages at scale, requires Meta approval, and is priced per conversation. Products sometimes describe the first as "WhatsApp integration" and let buyers assume the second.

3. Rupee pricing, and a total you can predict

Per-user-per-month pricing in dollars is a poor fit for a three-person business: the number moves with the exchange rate, and the bill grows as you hire. For a small team the questions that matter are whether the price is in rupees, whether it is one figure or per-seat, and whether anything renews automatically.

A one-time or annual rupee price you can put in a budget is worth a lot of feature checkboxes, and it is also the honest way to compare: a ₹999 one-time licence and a ₹800-per-user-per-month subscription are not in the same category of decision.

4. A lead source on every record

If you ever intend to advertise, this is the feature that tells you whether the money worked. A source field — website, Facebook, Instagram, Google, referral, other — costs nothing to fill in and is the only way to answer "where did our last ten customers come from?" without guessing.

Keep the list short and fixed. A free-text source field becomes forty spellings of the same channel and counts nothing.

5. Follow-up reminders tied to a date

The single feature most likely to change revenue. Not a notification feed, not an activity stream — a date on the record and a list of what is due today. Everything else in a CRM records the past; this is the only part that acts on the future.

If a product has stages, notes, reports and dashboards but no dated next action, it will tell you beautifully what you failed to do.

6. Import and export, both directions

You start with a spreadsheet, so import matters on day one — ideally with a preview before it commits. Export matters for the rest of the relationship. Being able to pull your leads, customers and follow-ups out as CSV, Excel or JSON whenever you like is what stops a CRM becoming a place your data is held hostage.

Ask the question directly before buying: can I export everything, myself, without asking support? If the answer is unclear, that is the answer.

7. An honest answer on users

Single-user and multi-user products look similar on a feature grid and are completely different purchases. If two people need their own logins and you buy a single-user licence, you will end up sharing a password, which breaks the audit trail and usually the licence terms too. Settle this before price.

8. Custom fields, used sparingly

Every business has two or three things it must record that no generic CRM ships — policy number, flat size, batch, admission year. A couple of custom fields handle that. The failure mode is adding twenty and filling in none, which is how a CRM starts to feel like data entry rather than selling.

What tends to be oversold

How Solvix Mini CRM maps onto this list: leads with a fixed source list and five stages, customers, dated follow-up reminders, tasks and calendar, notes and activity history, reports, custom fields, attachments, import from CSV or Excel with a preview, export to CSV, Excel or JSON, and one-tap call, email and WhatsApp click-to-chat. ₹999 once, lifetime licence, in rupees.

It is a single-user licence for one business, and it does not include WhatsApp Business API automation, invoicing, or one-click Facebook or Google integrations. If you need team logins or messaging automation, that is the full Solvix CRM, not this product.

How to choose in twenty minutes

  1. Write down how many enquiries you get a week and how many people need a login.
  2. Rule out anything that cannot save a lead without an email address.
  3. Rule out anything with no dated follow-up list.
  4. Check the export story.
  5. Compare the two or three survivors on total yearly cost, not feature count.

That order matters. Feature grids reward the biggest product; this order rewards the one you will still be using at the end of the quarter.
